Workplace Coordinator

The Workplace Coordinator is responsible for ensuring the smooth operation and effective management of office facilities, resources, and employee services, including the office cafeteria. This role supports the efficient use of office space, handles day-to-day administrative tasks, fosters a positive work environment, and manages the workplace cafeteria to provide a high-quality food service for employees. The Workplace Coordinator works closely
with employees, management, vendors, and service providers to ensure the office is well-maintained and equipped to meet the needs of the organization.

Key Responsibilities:

1. Office Operations:
  • Oversee the day-to-day operations of the office, including facility management, equipment maintenance, and general office support.
  • Ensure the office environment is clean, organized, and comfortable for employees.
  • Manage office supplies and inventory, ordering items as needed to maintain stock levels.

2. Vendor Management:
  • Liaise with vendors and service providers (e.g., cleaning services, maintenance contractors, IT support, food services) to ensure service quality and timely resolution of any issues.
  • Monitor and manage service contracts and expenses, including cafeteria services.

3. Facility Coordination:
  • Coordinate space planning and office seating arrangements to ensure optimal use of office space.
  • Manage meeting rooms, ensuring they are booked, organized, and equipped with the necessary technology.
  • Implement health and safety procedures, ensuring compliance with regulations.

4. Employee Support:
  • Act as a point of contact for employees regarding workplace-related issues and requests.
  • Provide administrative support to employees, including managing office access, assisting with office moves, and
  • addressing workplace needs.
  • Organize office events, celebrations, and team-building activities.

5. Office Cafeteria Management:
  • Oversee the day-to-day operations of the office cafeteria or food services, ensuring the availability of healthy, nutritious, and appealing food options.
  • Coordinate with catering vendors or cafeteria staff to develop menus that meet employee preferences and dietary needs.
  • Monitor cafeteria cleanliness, food quality, and service standards, ensuring a pleasant dining experience for employees.
  • Manage cafeteria budget, track expenses, and ensure cost efficiency while maintaining quality service.
  • Collect employee feedback on cafeteria offerings and make adjustments as necessary.

6. Administrative Duties:
  • Handle correspondence, scheduling, and document management for workplace operations.
  • Assist with onboarding processes by preparing workstations and orientation materials for new employees.
  • Maintain records for office-related activities, including vendor payments and service requests.

7. Health and Safety:
  • Support the development and implementation of health and safety policies.
  • Ensure the office complies with all relevant health and safety regulations, including emergency o Ensure the cafeteria meets food safety standards and regulations.

8. Sustainability and Efficiency:
  • Assist in implementing sustainability initiatives, such as recycling programs and energy-saving practices.

Requirements

Qualifications:

· High school diploma or equivalent (Bachelor’s degree preferred).
· Previous experience in office management, facilities coordination, cafeteria management, or related fields.
· Strong organizational and time-management skills.
· Excellent communication and interpersonal skills.
· Ability to handle multiple tasks and prioritise effectively.
· Knowledge of office equipment, safety protocols, food service management, and vendor management.
· Proficiency in Microsoft Office Suite or similar tools.


Work Environment:

· May require occasional travel for vendor meetings or site visits.
